    Job Requirements

    Ideal Candidate
    • At least 3 years of experience in a similar position
    • Advanced knowledge of Microsoft Office
    • Strong communication and organizational skills
    • Excellent time management and the ability to multitask and prioritize
    • Ability to learn new software programs quickly
    • Confident handling of computers and peripherals, especially very good knowledge of e-mail and, if applicable, databases
    • High social competence and very good manners, also on the phone
    • You are a reliable, responsible and loyal person
    • Flexibility and resilience
    • Proven experience in office management, administration or as an assistant
    • Knowledge of office management responsibilities, systems, and procedures
    • Attention to detail and problem-solving skills
    • Knowledge of accounting, data and administrative practices and procedures
    • Very good knowledge of German, both written and spoken, as well as business fluent English round off your profile

    Job Description

    • Processing of incoming and outgoing e-mails and telephone calls
    • Organize e-mail correspondence with both customers and head office in Germany
    • Supervise and support all administrative tasks in the office and ensure smooth office operations
    • Recording, acquisition and data management
    • Maintain the inventory of office supplies and, if necessary, place orders in the ERP system that meet the needs of the company
    • Process orders and write invoices
    • On-time sending of invoices to the accounting department and immediate feedback on request
    • Processing of customer inquiries and complaints and close contact with them
    • Organize and schedule meetings and appointments
    • Manage relationships with vendors, service providers, and landlords, and ensure all items are billed and paid for on time
    • Updating lists and reports as well as managing compliance records, filing and documentation
    • Providing administrative support wherever required.
